Honesty and communication is the best way forward with storeroom usage, we have a fair usage policy. 

The storeroom is for use of everybody.

Terms and Conditions


1.    GENERAL BOOKING GUIDELINES

Stores Philosophy: The equipment store is there for the benefit of all students and the regulations are laid out to encourage collective responsibility and to foster an attitude of professional care towards what is a finite resource.

Training: Before a student can book out any equipment they must have had specific training in its use as part of the course. If there is insufficient evidence to prove they haven been trained on any equipment, the booking may be cancelled.

Restrictions: The booking of certain film, video, lighting and specialist grip equipment is restricted to certain programme and year levels, in line with training given. Equipment can only be collected by a current Napier student or staff member unless previously agreed with a storeroom technician or lecturer.

Notice: A minimum of 48hrs notice is required for all bookings. But it is recommended to book with as much notice as possible to allow lecturers time to approve equipment.

Last Minute Additions: We understand there can be last minute additions to bookings, however we request this is kept to a minimum and is at the discretion of the storeroom technicians.  During busy periods last minute additions may be denied.

Availability: Bookings will only be taken and equipment can only be collected and returned during the set times outlined in the Siso booking. 24 hours turnaround is normally required from when an item is returned to the stores to when it is subsequently available for re-issue. Students are not permitted to collect or return items at times when they are supposed to be attending any timetabled activity such as lectures or tutorials, other than if the equipment is being used as part of that particular module. 


Stores Opening Hours:  Storeroom is generally open 9am-5pm Monday to Friday and is closed for lunch between 1pm and 2pm.  Any store closures will be listed on the Siso login page.

Duration: Equipment can be booked up to a maximum of 2 weeks in exceptional circumstances, it is possible to book for longer but under special circumstances (i.e filming abroad).

Collections:  We will prep all kit for the pickup time in the layout area.  We will leave bookings in the layout area until 4 hours after the booking time (i.e 1pm if the booking was at 9am) and then the kit will be cleared if no notice has been given via e-mail or phone.  A new booking will have to be created after that.  

    Bookings may be cancelled if the equipment and risk assessment hasn't been approved by the day of     pickup. 

Risk Assessment: No equipment will be issued from the store without a risk assessment form having been approved by the relevant member of staff.  If risk assessment is not approved by pickup time the shoot will need to be postponed until one is provided.  It is your responsibility to ensure the equipment and risk assessment approval are approved before collection.

Equipment loan extensions:

All equipment must be returned on the date and time as specified unless Ben Thompson has been notified.

Extensions may be possible, however due to availability you may still have to return at the original booking time.

Student Centred Learning: Bookings made for the purposes of student centred academic learning will be taken (provided approval given by a programme tutor) but cannot be guaranteed and will be given a lower priority. 

Student Responsibility: The student making the booking is absolutely and solely responsible for the equipment during the booking period. 

2.    EQUIPMENT BOOKINGS

Anyone wishing to book equipment for personal projects or non-project work should approach us in the first instance but they will have to seek the approval of the programme or year leader.  No bookings for equipment will be permitted for commercial use and may result in a ban from booking future equipment outside of immediate course work.

Personal Projects: If a personal project has been approved, all responsibility rests on the booker for the use of equipment and will be liable for 100% of repair or replacement costs of any broken or lost equipment. Lost parts will need to be sourced by the booker and replaced as soon as possible.

All equipment bookings must be authorised by the relevant module leader (or authorised deputy).

     Students must plan to ensure a staff authorisation in good time.

     Equipment bookings may be cancelled at a moments notice due to illness, university closure or severe weather.

3.    STUDENTS’ RESPONSIBILITY TOWARDS EQUIPMENT

Use of Equipment: Equipment must only be used for legitimate project and course related work.  On no account should it be used for entirely unrelated or commercial work.

Third Parties: Equipment must not be lent out to third parties while it is booked out to you.

Returning of Equipment: Equipment must be returned to stores on the date and time agreed with the stores technician in advance. If for any reason you cannot collect or return your equipment as agreed you must telephone or e-mail Ben Thompson ASAP and explain the situation (0131 455 2360)

Fines: Fines will be issued for the following reasons: 

Care of Equipment:  All equipment should be returned to stores in the manner and condition in which it was issued. This includes being packed in the correct cases; all cables neatly coiled and equipment cleaned as appropriate.  We will contact you via e-mail if equipment hasn''''t been returned in the manner it had been received, it is imperative you should check your e-mails soon after returning kit in case of any issues. We will allow a 4 hour grace period for you to come to the storeroom and rectify any messy equipment, after the 4 hours a £10 fine will be placed on the account.  Your Siso account will be frozen until such fines are paid.

Storage of Equipment: Ensure that equipment is stowed securely and not left unattended. Never leave equipment in an unattended vehicle.

     Abuse of Equipment: Persistent damage of equipment and / or abuse of stores regulations may lead to the           student being banned from access to all equipment.  You will be either be asked to purchase any item that is lost        or a fine will be placed on your account for the loss of the item.

Issue of Equipment: It is the student’s responsibility to check that all booked equipment is accounted for and functioning (including batteries charged as required) before removal from the store.

 4.    LIABILITY REGARDING LOST, DAMAGED, MALFUNCTIONING OR STOLEN EQUIPMENT

The Department: While the department will do its utmost to ensure that all equipment is serviced and working properly, it cannot be held responsible for:

          Theft:

Report to Stores: The student is responsible to report any malfunction of equipment (including post-production and studio equipment) due to legitimate wear and tear.  Failure to report will hold the last user responsible for the repair bill.

Insurance: Students are responsible for all equipment that is signed out in their name. All of the equipment is insured by the University for theft, loss or accidental damage, as detailed below.
